How to Create Gmail Alias Email Addresses

Use this when one person needs to receive or send email through more than one address from Gmail.

Options

Google Workspace user alias

Use this for addresses such as info@example.com, billing@example.com, or sales@example.com that should route to one user's mailbox.

Requirements and limits:

  • A Google Workspace admin must create the alias.
  • One alias can belong to only one user.
  • A user can have up to 30 aliases at no extra cost.
  • An alias is not a separate Google Account and cannot be used to sign in to Google services.
  • Changes can take up to 24 hours, but usually apply faster.

Admin steps:

  1. Open Google Admin.
  2. Go to Directory > Users.
  3. Open the user's account.
  4. Click Add Alternate Emails.
  5. Add the alias name before the @.
  6. Select the domain if needed.
  7. Save.

User steps to send from the alias:

  1. Open Gmail on a computer.
  2. Go to Settings > See all settings.
  3. Open Accounts and Import or Accounts.
  4. In Send mail as, click Add another email address.
  5. Enter the display name and alias address.
  6. Send and confirm the verification email.
  7. Use the From field when composing email.

Gmail plus alias

Use this for quick filtering or signups.

Examples:

  • name+work@gmail.com
  • name+news@gmail.com
  • name+shopping@gmail.com

Messages still arrive in the same inbox. Create Gmail filters to label, archive, star, forward, or delete messages sent to each plus alias.

This does not create a separate mailbox or a separate send-from identity.

Group alias

Use this when an address belongs to a Google Group instead of one person.

Examples:

  • support@example.com
  • help@example.com

Admin steps:

  1. Open Google Admin.
  2. Go to Directory > Groups.
  3. Open the group.
  4. In Group information, open Aliases.
  5. Add the group alias address.
  6. Save.

Groups can have up to 30 aliases.

Choosing The Right Method

  • Use a user alias when one person owns the address and should receive/send from the same mailbox.
  • Use a group alias when multiple people need access or the address represents a shared function.
  • Use delegation when one person needs to act inside another user's mailbox.
  • Use plus aliases for lightweight filtering, signups, and temporary categorization.

Notes

  • Aliases are not private and may be visible in some Gmail or recipient search contexts.
  • Some recipients, especially outside Gmail, may see on behalf of wording when mail is sent from another address.
  • To always send from an alias, set it as the default From address and update the reply-to address if replies should return to the alias.
  • If verification fails or an alias becomes invalid, remove it from Gmail Send mail as and add it again.
